1. Who is responsible for your data

The controller of the personal data described in this policy is Abeedah Consultants L.L.C., registered with the Kosovo Business Registration Agency under Unique Identification Number 812426030, at Lokal 24, Dukagjini Centre, Prishtinë ("we", "us"). ARTANA GROUP is the brand under which we supply our services. We process personal data as an independent controller under Law No. 06/L-082 on the Protection of Personal Data of the Republic of Kosovo, and, where it applies to you, the EU and UK General Data Protection Regulations. This policy forms part of the Coworking Membership Terms.

2. What we collect, and where it comes from

We hold different information depending on how you deal with us:

• Enquiries. What you type into our enquiry form: your name and email, and — where you choose to give them — your company, phone or WhatsApp number, the space you need, dates, and your message.
• Member accounts. If you create an account: your email address, your name, a password (stored only as a cryptographic hash), the time you accepted our Terms and which version, and whether you opted in to marketing email.
• Bookings, with or without an account. The dates and product you book, your name, email and phone, any notes you add, the Terms version and time of acceptance, the confirmation and cancellation history, and — for guest bookings — a private link that lets you manage that booking.
• Payment and billing. We do not take card payments through this website. Invoices and payment records are kept in our accounting systems.
• The building. Reception and access records kept for the security of the floor and the people on it.
• Correspondence. Emails, WhatsApp messages and calls with us, where we keep them to deal with your request.

3. Why we use it, and on what basis

• To answer your enquiry and discuss what you need — on the basis of your request and our legitimate interest in responding to business enquiries.
• To run your account and your bookings, confirm them by email, remind you of them, and manage changes and cancellations — because that is the contract you have with us.
• To invoice and collect payment, and to keep the records the law requires — our legal obligations.
• To keep the building and the floor secure — our legitimate interest and that of every other member.
• To send you marketing email about Artana — only with your consent, given by ticking the marketing box, which you can withdraw at any time from any email we send or by writing to us.

We do not sell personal data, and we do not use it for advertising.

4. Who processes it for us

We use a small number of service providers to run the website and the booking system. Each processes your data only on our instructions and only to provide its service to us:

• Supabase — hosts our database and member authentication (accounts, bookings, acceptance records).
• Resend — sends our transactional email: booking confirmations, reminders, changes, cancellations and account emails.
• Web3Forms — delivers enquiry-form submissions to our business inbox.
• Vercel — hosts this website and keeps standard server logs for security and reliability.
• Our business email and document providers, where your correspondence with us is kept.

Some of these providers operate from the European Union, the United Kingdom or the United States. Where personal data leaves Kosovo we rely on the safeguards the law provides for such transfers, including the providers' contractual commitments to protect it.

5. How long we keep it

• Contract and billing records, including bookings and the record of which Terms you accepted: six years after a membership ends, as our Terms state and as accounting law requires.
• Member accounts: until you ask us to close the account, after which we delete it, keeping only what the point above requires.
• Enquiry correspondence: for as long as needed to deal with your request and for a reasonable period afterwards for our records. You may ask us to delete it sooner.
• Marketing consent: until you withdraw it.

6. Your rights

You have the rights the law gives you: to access the personal data we hold about you, to have it corrected, to have it erased where we no longer need it, to object to processing based on our legitimate interests, and to withdraw any consent you have given. To exercise any of them, email contact@artanagroup.com; we will respond within the time the law allows and may ask you to confirm your identity first. You may also complain to the Information and Privacy Agency of the Republic of Kosovo.

7. Cookies and local storage

This website sets no advertising or third-party tracking cookies and runs no analytics scripts. It stores a small number of items in your browser's local storage: your chosen language and colour theme, so the site remembers them; and, if you sign in as a member, the session token that keeps you signed in. The preferences stay on your device; the session token is used only to authenticate you with our booking system.

8. Security

The website and booking system are served over HTTPS; passwords are never stored in readable form; booking data is protected by database-level access rules so that each member can see only their own bookings; and guest bookings are reachable only through the private link sent to the email address given at booking. No system is perfectly secure, and we will tell you and, where required, the authorities if a breach affects you.

9. Changes to this policy

We will update this policy as the way we work changes. The "last updated" date above shows when it was most recently revised; where a change matters to a running membership, we will tell you in the way the Terms provide.
